1. Personal Data Controller

The controller of your personal data is:

2. What personal data do we collect?

Through the contact form available at https://moskitosystem.com.pl/en/contact-us, https://moskitosystem.com.pl/en/content/2-cooperation, https://moskitosystem.com.pl/en/7-finished-product, we process only the following data:

  1. the e-mail address of the person sending the message (required field)

  2. the content of the message, including any personal data voluntarily provided by the
    sender in the message (e.g. name, surname, phone number),

  3. any attachments included with the message (optional),

  4. the selected subject of the message.

The Controller does not require the provision of a first name, surname, phone number or any other personal data in separate form fields. Providing such data within the message content is entirely voluntary and depends solely on the decision of the person contacting us.

3. Purpose and legal basis for processing

Personal data provided through the contact form are processed for the following purposes:

 

a) Handling correspondence and responding to inquiries

Legal basis: Art. 6(1)(f) GDPR — the legitimate interest of the Controller consisting in responding to submitted inquiries and conducting ongoing business correspondence.

 

b) Handling pre-contractual inquiries and orders

If the subject “Order for components”or“Order for finished goods”is selected:
Legal basis: Art. 6(1)(b) GDPRprocessing is necessary to take steps at the request of the data subject prior to entering into a contract.

 

c) Handling inquiries regarding payments and cooperation

Legal basis: Art. 6(1)(f) GDPR — the legitimate interest of the Controller in handling business and financial inquiries.

 

4. Method of transmitting and handling messages

Depending on the selected subject, the message is automatically forwarded to the dedicated e-mail address of the appropriate department:

  1. Cooperation, Order for components, General inquiry(Sales Department):

  2. Order for finished goods(Finished Goods Department):

  3. Payment inquiry(Accounting Department): ksiegowosc@moskitosystem.com.pl

Responses to inquiries are sent to the e-mail address provided in the form. Correspondence is handled internally by employees of the Controller.

 

5. Data retention period

Personal data contained in e-mail correspondence are retained for as long as necessary to handle the inquiry or order and are then archived in the Controller’s internal e-mail folders (sorted by company/contractor name) and in backup copies.

Archived correspondence is retained:

- for up to 5 years— in the case of correspondence related to orders placed or contracts concluded (due to the general limitation periods for civil claims),

- for as long as necessary to handle the inquiry — in the case of other correspondence.

 

6. Recipients of personal data

Personal data provided through the contact form are not shared with third parties, except where this is necessary for the operation of the website infrastructure (e.g. hosting services) or where required by law.

All data remain within the Controller’s internal resources (e-mail folders and backups) and are accessible only to authorized employees of the relevant company departments.

 

7. Rights of the data subject

The person whose data are processed has the following rights:

  1. Right of access to data (Art. 15 GDPR) — the right to obtain information about whether the Controller processes personal data and on what basis.

  2. Right to rectification (Art. 16 GDPR) — the right to request correction of inaccurate or incomplete personal data.

  3. Right to erasure (Art. 17 GDPR) — the so-called “right to be forgotten,” provided that no legal grounds for further processing apply.

  4. Right to restriction of processing (Art. 18 GDPR) — the right to request restriction of data processing in specific cases.

  5. Right to object (Art. 21 GDPR) — the right to object to the processing of personal data based on the legitimate interest of the Controller.

  6. Right to data portability (Art. 20 GDPR) — to the extent that processing is based on consent or a contract.

Requests concerning the above rights should be sent to the e-mail address:
handel@moskitosystem.com.pl or submitted in writing to the Controller’s registered office address.

 

If you believe that the processing of your personal data violates the provisions of the GDPR, you have the right to lodge a complaint with the supervisory authority — the President of the Personal Data Protection Office (ul. Stawki 2, 00-193 Warsaw, Poland).

 

8. Voluntary provision of data

Providing an e-mail address is voluntary but necessary in order to receive a response to your inquiry — without providing it, it will not be possible to contact us through the form.

Providing other data (such as name, surname, phone number, etc.) in the message content is entirely voluntary and remains solely the decision of the person contacting us.

 

9. Data security

The Controller applies appropriate technical and organizational measures to ensure the security of processed personal data, including protection against unauthorized access, loss, or destruction.

 

10. Server logs

When using the website, certain technical information may be automatically recorded in server logs, including in particular the IP address, date and time of the request, information about the user’s browser and operating system.

These data are processed solely for the purpose of ensuring the proper functioning and security of the website and are not used to identify users.

 

11. Hosting services

The website may be hosted on servers operated by an external hosting provider. The hosting provider may process personal data solely for the purpose of maintaining the server infrastructure and ensuring the proper functioning of the website, based on a data processing agreement concluded with the Controller.

 

12. Changes to the Privacy Policy

The Controller reserves the right to amend this Privacy Policy. The current version is always available on the website: www.moskitosystem.com.pl.
